ActaLedger for Institutions

Strengthening trust in certificates, licenses, permits, transcripts, and official records through blockchain-based document registration and verification.

Why ActaLedger?

Sigu Up and Protect Your Organization Against Fake, Altered, and Fraudulent Documents

Government agencies, schools, universities, professional associations, licensing bodies, and private organizations issue thousands of certificates, permits, licenses, transcripts, reports, and official records every year. Unfortunately, fraudulent copies, altered documents, and unauthorized reproductions continue to undermine public trust and create administrative burdens for document verification.

ActaLedger provides a secure blockchain-based document registration and verification system that allows institutions to establish an independently verifiable record of the authenticity and integrity of their issued documents.

1. The institution signs up for an account in ActaLedger (Sign Up). Then, it must set up an official digital wallet, connects it to the Polygon Network, and fund the wallet with small amounts of POL. (For guidance on how to set up a Digital Wallet please go to the ActaLedger Wallet page. The process of creating an official wallet should follow the institution's own internal protocol which should be similar to the opening of an official bank account.

2. With the user account and wallet already set up, the institution may immediately start registering documents in the ActaLedger Register page. However, to establish an incontrovertible link with the institution's account, its official wallet address and identity, the institution needs to fill out and submits an (Enrollment Form) to ActaLedger. The form identifies the institution, its authorized representative/records custodian, and the official Polygon wallet address designated for document registration activities, and duly signed by authorized official.

3. Upon receipt of the completed Enrollment Form, ActaLedger undertakes due diligence re validity of the Enrollment Form and when satisfied, registers the filled out form into the blockchain, creating an independent and verifiable record linking the institution to its designated wallet address. After registering ActaLedger furnishes a pdf copy of the registered form to the institution. This registration provides evidence that document registrations originating from that wallet are associated with the institution identified in the Enrollment Form.

4. The institution verifies the pdf copy in the ActaLedger Verify page and then issues a formal official confirmation (Confirmation Form) of its enrollment to the ActaLedger. The institution then registers the Official Confirmation Document on the blockchain using its official wallet address in the ActaLedger Register page.). This will create an independent and verifiable record that the institution using its own wallet address has confirmed its enrollment at ActaLedger.

5. The institution can then continue to register documents into the blockchain through the ActaLedger Register page. Once, registration is confirmed in the blockchain which may take minutes. The institution then issues the registered digital copies of the document to their intended recipients.

6. Holders or recipients (e.g., employers, other government agencies, clients and other third parties) of registered digital copies of the documents, can then verify the documents' authenticity on the blockchaing though the ActaLeger Verify page.

Key Benefits

Combat Fraud and Protect Reputation

Detect altered, forged, or unauthorized copies of official documents. By combining institutional accountability, secure digital recordkeeping, and blockchain-based verification, ActaLedger helps organizations protect their reputation while making it easier for the public to trust the documents they issue.

Independent Verification

Allow employers, regulators, and the public to verify document authenticity directly.

Third parties can independently verify that:

  • The document was registered by the institution's designated wallet;
  • The document has not been altered since registration;
  • The document existed in that exact form at a specific point in time.

Strengthen Trust

Enhance confidence in certificates, licenses, permits, and official records. ActaLedger provides an additional layer of independent evidence that helps establish document authenticity, integrity, and issuance history.

Permanent Evidence

Maintain immutable blockchain records of document issuance and integrity. Every registered document receives a unique cryptographic fingerprint recorded on the blockchain.

Reduce Verification Costs and Administrative Burden

Allow third parties to verify documents directly through the ActaLedger verification system, reducing administrative requests, manual verification workloads, and the need for repeated document authentication procedures. As adoption of blockchain-based verification grows, institutions, employers, government agencies, and other organizations may increasingly rely on independently verifiable digital records rather than requesting certified true copies, notarized reproductions, courier delivery, postal transmission, or direct confirmation from issuing institutions.

Facilitate Digital Transformation

Support secure digital issuance and verification of records without requiring recipients to maintain specialized software. ActaLedger minimizes manual and hard-copy based verification, facilitating digital transformation accross industries and services.
